Terms And Conditions

Please read the following terms and conditions carefully. You must not accept any booking unless you understand and agree with the following terms and conditions.

Epic Holidays is a third party supplier acting as a travel agent so although we endeavour to help, each accommodation, activity and transfer arrangement is with the company we book with so check their terms and conditions.

Prices:

All prices are subject to availability and can be withdrawn or varied without notice. Please note that prices quoted here are subject to change. Price changes may occur by reason of matters outside our control which increase the cost of the product or service. Such factors include adverse currency fluctuations, fuel surcharges, taxes and airfare increases. Prices are correct at the time of quoting however we reserve the right to adjust our prices as necessary at any time until final payment is made.

Deposit and Payment:

You will be required to pay deposits to secure your booking. All groups travelling will be required to pay a non-refundable deposit of $50 per person or $100 per person with packages including flights.
Final payment is required no later than 90 days prior to departure unless otherwise stated. It is possible to make final payment by direct deposit, cheque or credit card.

– All group flights need to be a minimum of 10 people.

Taxes:

Airline taxes are subject to change and are confirmed at the time your airline ticket is issued.

Cancellations & Changes to Bookings:

Accommodation: If change of destination from international to a domestic is required outside 45 days of travel a cancellation fee will be charged by the hotel. Any cancellations on accommodation inside 45 days of travel will receive no refund.
Group airfares: Outside 30 days of travel the deposit(s) paid will be forfeited in the event of a cancellation. Inside 30 days of travel all group airfares are fully non-refundable, however partial credits may be used at a later date subject to airline booking conditions. Name changes are permitted up until 24 hours prior to departure & will be processed free of charge.

Final payments made by Credit Card:

Credit card surcharges of 2% for Visa & MasterCard will apply when paying final payment by credit card. We do not accept American Express or Diner’s Club. If for any reason any travel service provider is unable to provide the services for which you have contracted, your remedy lies against that provider, and not against Epic Holidays Pty Ltd. In the event that payment has been made to Epic Holidays
Pty Ltd by credit card, you agree that you will not seek to charge back your payment to Epic Holidays Pty Ltd.

Travel Insurance:

Insurance policies cannot be issued until full names and DOBs have been advised and payment for policy has been received. It is the Organiser’s responsibility to supply this information.

Free Night Club and strip club entry:

Epic holidays sometimes provides free night club and strip entry with packages but this is out of hands if you do not receive this for any reason. It is completely at the discretion of the club on the night as they may have a last minute special event which will effect free entry being offered.

Travel Documents:

Travel documents include (without limitation) any documentation used to confirm an arrangement with a service provider.
Any errors in names, dates and timings on your documentation will be your responsibility if not advised at the time of booking.
As a general rule your travel documents will be sent to you 2 weeks prior to departure; however they will not be released to you until full payment for the entire group has been received.
It is your responsibility to ensure that you have valid passports, visas and re-entry permits. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements will be your sole responsibility.

Passports & Visas:

All travellers must have a valid passport with at least 6 months validity from the date of return. We do not warrant the accuracy of such information and accept no liability for any loss or damage which you may suffer in reliance on it.
It is your responsibility to ensure that you have valid passports, visas and re-entry permits. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements will be your sole responsibility.

Please contact the Department of Foreign Affairs and Trade for travel advice or visit their website at www.smartraveller.gov.au.

Covid 19 policy:

In the event of a last-minute change due to unforeseen circumstances from Covid-19, Epic Holidays will deal directly with each supplier and do our best to get a credit voucher. Most of our suppliers are willing to give a full credit voucher if there are genuine circumstances out of the traveller’s control but a $50 per person deposit will be forfeited. Also, please beware that each supplier will have their own terms that Epic Holidays has to work with.
